Today we’re sharing three massive time saving tips that you may not already be aware of, sure to preserve even more time and mental force for better things. 



Cloning Forms

 

What is it:

 

The “Clone Form” feature enables you to make a complete copy of an existing submitted form. It creates a new form using all of the information from the original form.

 

Benefit:

 

Save so much time. The new form is created and populated with all data copied from the original form so all you need to do is adjust the content where required in the new version.

 

How do I do it?

The following instructions are for the Web Portal. For more information, visit the User Guide

 

  1. Find and select the Submitted Form you want to clone
  2. Select the “clone” option at the bottom of the page
  3. You can then de-select photos, drawings, and signatures, or copy them across too!
  4. Click “Clone” - job done!

 

The following instructions are for the App. For more information, visit the User Guide

 

  1. Go to Forms > Submitted Forms 
  2. Swipe to the left on the form that you would like to Clone > Select Clone 
  3. Select the options that appear which include copying photos and copying drawing tool image 
  4. Select Clone Form > The cloned version will open for you to complete.

 

It will have its own submitted form ID and appropriate form actions will trigger according to the form template. 



What should I be aware of when Cloning Forms?:

 

  • You need to have the permission to ‘clone’ forms enabled





Convert to Job

 

What is it?

 

“Convert to Job” enables you to create a New Job from a previously submitted form. The new job will have a cloned copy of the Form automatically added for you (with or without the photos copied across).



Benefit:

 

Saves so much time. If you did a Job on a property last year, simply “Convert to Job” and the Job (with attached forms) will be copied for you. All you need to do then is make any adjustments to the content of the new job.

 

A massive benefit if you are doing multiple strata units or apartments where a lot of the content will be the same. Simply convert the one Submitted Form into as many new Jobs as you need (for example 20 jobs for 20 units). All of the consistent content will be duplicated for all of the jobs leaving you just to amend the unit specific information.



How do I do it?

 

  1. In the Web Portal, locate the last Submitted Form to be copied.
  2. Under the Actions tab of the Submitted Form you will see “Convert to Job”
  3. You will see the new Job automatically created and bring all related Job Information across
  4. You confirm the Form for the new job is the same (or select a different form to be used)
  5. Confirm if you want the old photos copied across (or not) to the new job form.
  6. Job Done - a new job created with a copy of the original form included.






Completing Jobs & Job Forms in the App

 

What is it?

 

You can now complete Jobs and Job Forms from start to finish from the Web Portal.



Benefit:

 

You can complete jobs from the office or home from your computer without using the app

Office based staff can complete jobs

Jobs started in the App can be picked up and completed from the Web Portal



How do I do it?

 

To complete Jobs and Job Forms in the Management Portal:

 

  1. Go to the Jobs list and select the job you wish to complete.
  2. In the Job Card, go to the Forms Progress section of the job
  3. Click on the “Open Forms” tab, this will open all of the Forms linked to the Job in the Forms drawer.
  4. Complete the forms and save or submit them from the portal, returning to the job when done.
  5. Complete the Job when all requirements are done by clicking on the “Complete Job” button
  6. You can instantly share the Job Details including Reports and Invoices by clicking on the “Share Job” buttons and sending a JobLink.
